Smart Lock Use in Office and Workplace Security

The access management problem in modern workplaces
Office security today demands far more than simply locking a door. Employees arrive and leave at different hours, visitors need controlled access, meeting rooms are shared, and common areas must be managed. Traditional key systems struggle to handle this complexity.
Nuki smart lock solutions digitize workplace access management, letting you handle all these scenarios from a single platform. Designed in Austria and manufactured in Europe, Nuki provides enterprise-grade security with AES-256 encryption.
Employee access management
Different employees need different levels of access. The sales team needs meeting rooms; IT needs the server room; management needs everything. Nuki lets you create individual access profiles for each employee.
Individual access profiles
Through the Nuki app you can define custom access permissions for each person:
- Zone-based access: Permission only for areas relevant to the employee's role
- Time restrictions: Access only during working hours (e.g. weekdays 08:00–19:00)
- Temporary access: Time-limited permissions for project-based or seasonal staff
- Instant permission changes: Immediate revocation when someone changes department or leaves
When an employee leaves, traditional systems require changing locks or collecting keys. With Nuki, you simply remove that person's access in the app or Nuki Web — done in seconds.
Visitor and client access
For customers, suppliers, or business partners visiting the office, you can generate temporary access codes. With Nuki Keypad 2, visitors enter via PIN code without needing a smartphone app.
Visitor access scenarios
- One-time visit: A code valid only on the day of the meeting
- Regular visits: Access on specific days for a recurring business partner
- Service access: Time-restricted entry for cleaning companies or technical crews outside business hours
- Courier access: A single-use code for parcel delivery
Every visitor access event is logged automatically. Who came, when, and how long they stayed — all viewable in Nuki Web.
Shift and working-hours management
For workplaces with shift workers, Nuki's time-based access is a significant operational advantage. You can define separate access rules for morning, afternoon, and night shifts.
Example configuration:
| Shift | Access hours | Access zones |
|---|---|---|
| Morning shift | 06:00–14:00 | Main entrance, production floor |
| Afternoon shift | 14:00–22:00 | Main entrance, production floor |
| Night security | 22:00–06:00 | All areas |
| Management | 24/7 | All areas |
Access logs and reporting
Nuki records every door open and close event with date, time, and user identity. These logs serve multiple purposes:
- Security audit: Detect unusual access attempts
- Compliance: Access evidence for ISO 27001 and similar standards
- Operational analysis: Understand office usage patterns
- Incident investigation: Retrospective access queries when needed
Logs can be filtered, exported, and reported directly from the Nuki Web panel.
Smart home integrations in the workplace
Nuki is compatible with Apple HomeKit, Google Home, Amazon Alexa, and SmartThings. If your workplace already uses a smart ecosystem, Nuki integrates into it. Matter and Thread protocol support also keeps you compatible with future smart-building standards.
For example, when the first employee arrives and opens the door in the morning, lights could turn on automatically or the HVAC could switch to comfort mode.

FAQ
Can Nuki be installed on office doors?
Yes. Nuki smart locks mount on doors with European-standard cylinder locks. For incompatible cylinders, the Universal Cylinder can be used.
How many employees can be granted access?
There is no practical limit to the number of users in the Nuki app. Each user can have separate time and zone restrictions.
What happens if the battery runs out?
Nuki smart locks run on batteries and alert you well in advance when levels drop. If the battery does run flat, the door can still be opened with a physical key.
Does it work if the internet goes down?
Yes. Nuki operates over Bluetooth and does not require an internet connection. Internet is only needed for remote management and notifications.
Can it integrate with our existing security system?
Nuki's Matter and Thread support allows integration with many smart building systems. API support enables custom integrations as well.
